How do I add a Promotional Code for my restaurant

Promotional codes allow you to offer discounts, giveaways, or special booking incentives to your customers.


Creating a New Promotion

  1. Go to Manage Promo.

  2. Click Add Promo at the top of the page.

  3. Complete the promotion details.

Below is a breakdown of each field using an example:
Free drink giveaway when booking online for a specific date.


Main Promotion Settings

Title
Internal only. Customers cannot see this.

Code
The promotional code customers will enter.
Example: GIVEAWAY123

⚠️ The code cannot contain special characters.
Only use letters and numbers.
Do not use symbols such as !, %, &, -, _, or spaces.

Start and End Date
The dates the code will be valid from and to.

Single Use
If enabled, the code can only be used once in total.

Disable Booking Options
If you use booking options (such as highchairs or dog areas), you can disable them for this promotion if required.

Description
Visible to customers. Briefly explain what the promotion includes.

Promo Menu
Select specific menus that should only be available when this promo code is used.


Usage Limits (Optional)

Leave blank for unlimited use.

Max # Total (not single use)
Total number of times the code can be used.

Max # Per Day (not single use)
Limit the number of times the code can be used each day.

Max # Covers Total (not single use)
Limit the total number of covers that can use this promo code.


Applying a Discount at Booking

Enable Apply Discount at Booking if the discount should be deducted during checkout.

This option is used for any venue that takes full payment at the time of booking, including:

  • Competitive socialising venues

  • Afternoon tea bookings

  • Set menus

  • Ticketed events

  • Any prepaid experience

When enabled, the discount will be applied immediately during the checkout process, reducing the amount the customer pays at booking.


Promo Value (At Booking)

Choose how the discount works:

Percentage Discount
Gives a percentage off the total booking.

Value Discount
Deducts a fixed amount (e.g. £10 off the booking).

Fixed Value
Sets the booking to a fixed price.
Example: 1 hour of bowling for £10.

Discount Value (at booking)
Enter the discount amount or percentage.


Time Restrictions

Select Time Options

All Times
Customers can use the code on any day at any time.

Defined Times
Restrict when the promo code can be used. This is useful for encouraging bookings during quieter periods.

Click Add Promo Code to save.

If you selected Defined Times, you must then select the specific days and times the code applies to.


Additional Options (After Saving)

Once the promo code is created, additional settings become available:

Lead Time
If set to 1 day, customers cannot use the promo code for bookings within the next 24 hours.

Single Use Per User
Limits the code to one use per email address.

Used
Disables the promo code.


User Restrictions

User Group
You can create restricted groups in:
Manage Users → User Groups

Add specific customer email addresses to a group.
Only those email addresses will be able to use the promo code.

Please note:

  • Email addresses must already exist in Togo.

  • If not, add them via Manage Users → Add User.

Email Domain Limit
Restrict the code to a specific email domain.
Example: entering @example.co.uk means only customers with that domain can use the code.


Options That Can Be Ignored (Restaurants)

The following settings are not relevant for restaurant venues and can be ignored:

  • Promo Parent

  • Trigger By

  • Apply To

  • No Duplicate Activities

  • Don’t Apply Discount to Seed Activity

  • Limit Discount to One Activity Only

  • Activity Trigger Count

  • Activity Duration Limit

  • Point Store Promo

  • Points Cost
